    What is a price list?

An overview of the prices you charge for your items, often different per customer group, per country or per agreement. It means nobody has to work out again on every order what an item costs. Such an overview is called a price list.

    In practice

What it means for your SME

A wholesaler sells the same screw to a regular contractor, to a web shop and to a private buyer, each at a different price. Without a fixed list the salesperson decides from memory, or looks it up in a spreadsheet that not everyone has.

A price list records what an item costs, possibly per customer group, per quantity or for a set period. The prices belong to the item number, so every line makes clear which item it is about. They flow into your quotation and into the order.

What goes wrong without a proper list? Two salespeople give the same customer different prices. A supplier price rise never reaches the selling price, so your margin quietly shrinks. Or a special deal with one customer lives only in the head of the person who made it.

Watch the validity: a price list has a start and an end, and old lists should not keep running. Keep track of which customer sits on which list too, because that is where most confusion arises. If you run a web shop alongside your accounting, the same prices must be right in both places.

Start simply: one standard list, and only the exceptions you truly need. Every extra list is something you must keep maintaining. The EAN code or a supplier number often helps to match supplier prices to the right items quickly.

Ask yourself how often your prices change and who may change them. A list only one person can edit is safe but slow; a list anyone can edit is quick but risky.

    How it works in Uniconta

In Uniconta a price list can be chosen on a sales order, or it is taken over from the debtor. Our module pages speak of price agreements. There is no separate price list module.
